Original Vehicle Documents: Plan a Recorded Handoff

Original ownership or shipment documents may need a different handoff from the vehicle. For a Copart or IAA purchase moving with FleetX, confirm the actual document requirements and authorized recipient before choosing how the originals will travel.

Confirm what must be original

Ask the origin export specialist and destination clearance contact which records must be originals, which copies are accepted and when each is needed. Note the authority or provider supplying the instruction. Do not assume a photograph is sufficient everywhere or dispatch the only original before resolving an identity or ownership error.

Choose a documented custody chain

Name the sender, accepted recipient, delivery method and reference to the VIN or shipment. Use an agreed secure channel for copies and a traceable process for physical delivery. Do not leave originals loose inside the vehicle as a substitute for an accepted document handoff; the vehicle and paper may reach different handlers.

Confirm receipt against the deadline

Ask the recipient to acknowledge the document and verify that it matches the expected vehicle record. Store dispatch and receipt evidence with the transport file. Tell FleetX about unresolved receipt or required corrections before a dependent ground or ocean milestone, so the movement is not planned around paperwork that has not reached its owner.

Vehicle document custody register

Track originals using a distinct sender, recipient and receipt record rather than relying on the vehicle’s tracking status.
