VIN Mismatch Before Shipping: Reconcile the Auction and Document File
A VIN disagreement should be resolved before an auction purchase moves into export preparation. FleetX’s transport instructions need to identify the correct vehicle; the auction and document issuer must address errors in their own records.

Compare records without guessing
Place the auction reference, invoice, ownership document and an accessible vehicle identification photograph together. Mark the exact character or field that differs and record where each value came from. Do not alter an issued document yourself or choose the value that simply looks most likely to fit the transport booking.
Ask the issuer to correct the record
Send the discrepancy to the auction or issuer responsible for that record and request the accepted correction process. Ask the export/document contact what evidence is needed for this shipment. Keep the response and replacement documents together. US vehicle exports have document requirements published by CBP; confirm applicability rather than assuming a minor typo will be accepted.
Replace all affected transport instructions
Tell FleetX which identity remains unconfirmed and ask whether dispatch should wait. After an accepted correction, update the carrier instruction, receiving reference and ocean file using the same verified VIN. Preserve the earlier records as superseded evidence so the receiver can understand why the paperwork changed.
