Vehicle Export Documents: Prepare a Consistent Shipment File

Build the vehicle document file before arranging departure. The goal is to prove which vehicle is moving, who can authorize it, and which origin and destination requirements apply. A complete transport order does not replace an export filing or an import approval.

Start with identity and ownership

Keep the VIN, purchase invoice, ownership/title record and seller details together. Ask about liens, replacement documents and restrictions before committing to a sailing. Compare names and identifiers across the file; a spelling difference or missing VIN deserves resolution, not an assumption. Keep readable copies and identify who holds any required original.

Confirm the origin-specific procedure

For a US export, use CBP’s vehicle guidance and the chosen export port’s instructions to confirm ownership evidence, presentation and filing arrangements. For a Canadian departure, verify the applicable Canadian process separately. Ask the responsible filer to confirm acceptance and deadlines in writing. Do not apply a US checklist unchanged to another origin or rely on an old article for a current cutoff.

Prepare the destination handoff

Confirm consignee details, shipping instructions and the destination agent’s required documents before sending the file. Use a simple status for each item: requested, received, checked or accepted. Export acceptance, carrier acceptance and destination clearance are separate milestones. Retain the current version, its recipient and confirmation date so a revised record does not get lost between parties.
