Auction Vehicle Pickup Checklist: From Payment to Loading
Winning a vehicle does not make it ready for pickup. Before dispatching a truck, confirm that the auction can release the vehicle, the driver can collect it, and the loading equipment matches its actual condition. This checklist separates purchase paperwork from transport readiness.

Confirm release before dispatch
Ask the auction for the current release instructions, payment status, pickup window, appointment procedure, and any outstanding holds. Give the carrier the lot number, VIN, collection address, contact, and the required authorization. Confirm the auction’s own storage terms; do not assume another yard’s deadline applies.
Describe what the vehicle can actually do
Record whether it starts, rolls, steers and brakes, whether keys are present, and whether tires hold air. Mention loose parts, low ground clearance and damage that obstructs loading. A listing marked ‘runs’ is not confirmation of safe loading today. Ask who supplies any winch or forklift and whether the yard permits that method.
Use a ready or blocked handoff
Use four checks: release accepted, appointment confirmed, equipment accepted, and delivery contact confirmed. If one is missing, identify its owner and next action before the driver travels. At collection, match the VIN, photograph accessible vehicle surfaces, record visible damage and missing items, and retain the pickup receipt. Send any new condition information to the next handler.
