Vehicle Handoff Records: Photos, Missing Items and Condition Notes
A clear condition record helps the collecting and receiving parties discuss the same vehicle at the same point in its journey. Record visible facts consistently rather than making an unsupported diagnosis or promising a claim outcome.

Capture identity and context
Record VIN, date, location and the parties present. Photograph accessible exterior areas and notable defects without putting anyone at risk. Note limitations such as poor lighting, restricted access or dirty surfaces. Keep original files so the context remains available.
Use observations, not assumptions
Write ‘left mirror missing’ or ‘front tire flat’ rather than concluding who caused it. Record keys, accessories, loose parts and loading condition separately. If a discrepancy appears, compare the earlier handoff record and ask the responsible parties to clarify it through the agreed process.
Close the receiving handoff
Match the delivered vehicle to the expected VIN, note any visible discrepancy and retain the receipt. Follow the applicable reporting terms promptly if an issue is found. Photos support a record; they do not replace an inspection, determine liability or guarantee insurance coverage.
Illustrated photo sequence for a handoff
The diagram is a planning illustration, not photographs of an actual FleetX shipment. Capture accessible views safely and tie the images to the vehicle reference, time and handoff location. Obtain permission for photography and protect unrelated people and private information.
- Identity: photograph the accessible identifier and relate it to the lot; avoid publishing the record unnecessarily.
- Overview: record front, rear and both sides from safe positions before the physical transfer.
- Detail: capture a visible concern close enough to identify it, plus an overview showing its location.
- Items: record keys, loose parts and accessible accompanying items; mark uninspected areas as unknown.
Keep original image files and observations with the handoff record. This sequence documents visible condition; it is not a mechanical inspection, complete damage assessment or proof of causation. Tell FleetX and the relevant provider about new observations before the next movement and follow the actual notice process for any concern.
