Dealer Auction Vehicle Tracker: One Readiness Row Per VIN

A dealer buying several auction vehicles needs to know which units are ready for each transport leg. Use a per-VIN tracker when coordinating ground and ocean moves with FleetX; a batch total alone hides the vehicle that can block the next handoff.

Keep separate readiness columns

Use columns for auction/site reference, payment confirmation, pickup authority, condition, title status, receiving acceptance and ocean-file readiness. Record confirmed, pending or blocked with a named owner and next action. Avoid one ready checkbox: a released vehicle can still lack a document or an accepted ocean handling arrangement.

Attach evidence rather than assumptions

Link each status to a dated instruction, document or confirmation. Keep the current pickup address and contact beside the auction reference. Do not overwrite a changed instruction without retaining its replacement date. Send FleetX a concise list of changed VINs and the decisions needed instead of an unexplained spreadsheet color.

Use the tracker to split the batch

Review whether ready vehicles should proceed while blocked units wait. Ask FleetX about separate collection, shared handling and the effect on the proposed ocean plan. Record the approved decision and revised costs by VIN. A complete tracker supports coordination but does not replace an auction release or an authority’s document acceptance.

Five-vehicle readiness example

The rows below are hypothetical; VIN-A to VIN-E are placeholders, not vehicle identifiers. Confirmed means dated evidence is available for that particular task. Pending means confirmation is requested. Blocked means an identified prerequisite prevents the next action. A unit is ready for a specific leg only when all prerequisites for that leg are accepted.

UnitStatus / evidenceOwner / next action
VIN-ACollection confirmed / release emailCoordinator / confirm receiving
VIN-BTitle pending / seller requestSeller / supply document update
VIN-CLoading blocked / missing wheel reportedHandler / assess equipment
VIN-DOcean pending / acceptance requestCoordinator / obtain decision
VIN-EArrival pending / receiver questionsReceiver / confirm responsibilities

Replace the placeholders with the actual VINs and add evidence dates, links and the next update expected. Give FleetX the changed rows and decisions needed. Do not present a dealer’s completed spreadsheet as approval from an auction, ocean operator or destination authority; each confirms its own requirements.

Download a planning worksheet

The dealer download has five editable vehicle records for status, evidence and action owners. Print the completed rows for coordination with FleetX; the sheet does not itself approve collection or an ocean booking.
