Vehicle Transport Damage: Prepare the Notice and Evidence File

If you discover damage during a vehicle handoff, record the observation and check the applicable notice procedure promptly. Carrier liability and cargo insurance may involve different contacts and requirements. This checklist helps organize evidence; it does not determine coverage, fault or compensation.

Record the handoff without guessing the cause

Match the VIN and photograph the vehicle, visible damage and relevant surrounding condition. Record location, date, receiving party and what could not be inspected. Compare these observations with pickup photographs and earlier handoff records. Use the receiving document’s permitted notation process and retain a copy. Describe what you see rather than attributing blame from one photograph. If the vehicle appears unsafe, stop using it and obtain appropriate professional assistance.

Find the actual notice instructions

Review the transport contract, bill of lading and any separate policy for the correct notice recipient, channel and deadline. Notify the applicable parties using those instructions and keep acknowledgment evidence. Ask whether a survey or repair authorization is required before altering the damaged area. Maersk’s claims guide is an example of carrier-specific procedures, not a deadline or promise for your shipment. A message to a driver alone may not satisfy the agreed process. [1]

Build a traceable evidence file

Group the purchase value evidence, shipment identifiers, contract or policy, pickup and delivery records, photographs, notices and any requested assessment. Keep originals and record which documents were sent to whom. Obtain an itemized professional estimate if requested; distinguish earlier damage from the newly observed concern. Track unanswered requests without promising recovery. The party assessing the claim must decide what additional evidence and contractual terms apply.
