Dealer Vehicle Shipping: A Checklist for Repeatable Handoffs

A multi-vehicle move works best when each VIN has its own readiness record and the batch has one agreed coordination plan. Keep a missing key or unconfirmed title from blocking vehicles that are ready. This checklist helps a dealer organize the handoff without confusing a transport batch with a purchase or customs transaction.

Create a VIN readiness table

Use columns for vehicle identity, pickup site, release status, keys, running/loading condition, document owner and destination contact. Mark blockers explicitly and nominate the person who resolves them. Do not put several vehicles in one row labelled ‘all ready’ when they have different release or loading conditions.

Agree how the batch can change

Confirm whether the carrier can collect ready vehicles separately, what happens if one lot is held, and how a replacement VIN changes the quote. Record approved pickup windows and receiving capacity. If vehicles feed an ocean shipment, ask how inland delays affect consolidation and departure planning rather than promising a fixed sailing to customers.

Close each vehicle handoff

Match the collected VINs to the order, retain condition photos and receipts, and notify the receiving party of missing items or changes. Reconcile collected, delivered and still-blocked vehicles rather than reporting only that a truck arrived. A short exception list with an owner and next action is more useful than repeated general status messages.
