Dealer Auction Transport Costs: Reconcile Ground and Ocean Records

When several auction vehicles share a shipment, keep the actual transport scope and approved changes visible by VIN. FleetX’s quote and transport records should be reconciled with the dealer’s purchase and arrival costs before estimating the result of the batch.

Preserve the accepted transport scope

Save the offer accepted for each movement, including endpoint, assumptions and approval date. Keep ground and ocean references linked to the affected VINs. If a blocked purchase moves later, attach the replacement arrangement rather than treating the first quote as the final cost for every vehicle in the original group.

Allocate shared costs transparently

Choose and document an allocation method for genuinely shared costs, such as equal shares or another agreed basis reflecting the movement. Keep vehicle-specific special handling against that VIN. Label estimates separately from invoiced amounts. Ask your accounting adviser how to treat the costs in your business rather than assuming a transport worksheet defines tax treatment.

Investigate differences with evidence

For an unexpected amount, match the invoice line to the accepted terms, change approval and relevant event. Request clarification from the party that charged it instead of deleting the difference from the budget. Keep separate arrival-provider receipts and flag unconfirmed costs before making resale or cash-flow commitments.
