Auction Shipping Exceptions: Send an Update That Supports a Decision

A useful exception update tells the buyer what happened, what is blocked and who acts next. When coordinating Copart or IAA ground and ocean transport with FleetX, separate confirmed facts from a proposed recovery plan and an arrival estimate.

Report the physical and document status

Identify the VIN or lot and the most recent confirmed location. Describe the specific issue and its source, including any document or receiving dependency. Avoid saying delayed without explaining whether the vehicle is at the auction, in ground transit or awaiting an accepted ocean arrangement.

Use a labelled decision example

Hypothetical update: the vehicle remains at the auction because release authority is unresolved; the purchasing representative owns the correction. Ask FleetX to review the ground window after confirmation. Affected ocean timing is under review, with no revised arrival date promised. This is a planning example, not a report of an actual FleetX shipment.

Name the next confirmation

Give the responsible person, requested action and expected update point, distinguishing a requested response time from a guaranteed completion. Record any cost approval needed before rerouting or storage. Once resolved, share the evidence and replace the old instruction so the buyer, carrier and receiving contact work from the same recovery decision.
